The UK&I Service team has a turnover of $60m and delivers innovative maintenance and service solutions to a wide customer base across all industry segments for HVAC, chillers, industrial refrigeration, controls and mechanical & electrical works.

Cool Solution was established 17 years ago and has grown to become a significant player in the mechanical services market, delivering national installation from our offices in Cardiff and the Midlands. We offer a service to design, install and maintain all types of comfort systems covering ventilation, air conditioning, refrigeration, and heating.

We focus mainly on working within commercial buildings, fitting out offices, retail, hotels, and industrial premises to suit the needs of the end users as well as specialist applications such as refrigeration and clean rooms.

What you will do

As a Service Planner based in our Cardiff office you are the primary contact for our engineers and customers. You will take ownership of the day-to-day administration /operational activity which can include: scheduling engineer visits, ordering supplies, handling vendors, processing invoices and other general administrative tasks.

How you will do it

Our Service Controller collaborates with the Service Manager and works on a defined scope of activity. A key area of your responsibility will be planning and scheduling of our front-line service delivery teams. You will book Labour & Material works and Planned Service Agreement contract and visits. Part of the role would be also leading our customer enquiries. We will need you to help with AR enquires, order supplies, process invoices and general management of vendors. The role involves providing general support with other administrative task across the operational team. These will include:

Utilise scheduling tools to plan engineer's workloads
Proactively monitor any non-scheduled work that needs arranging with site before attending
Obtaining quotes from Suppliers
Collaborating closely with the Field Line Manager with quote and order updates
Liaise with National Account managers and Sales representatives
Raising Contracts on Service Max and/or Oracle
General office administrative duties as the need arises
Input engineers' holidays onto Service Max Dispatch Console

What we look for

Computer literate
Organisational skills & ability to prioritise tasks
The ability to multitask and be proactive
Good working knowledge of Microsoft Office
Previous experience of a Customer Service, Administrative or Order Processing role is desired
Excellent communication skills both verbally and written
An ability to follow process and connect with staff at all levels

This is a full-time permanent position, and the hours of work will be 08:30am - 5:00pm Monday to Friday.
